The short answer

What drives the cost

Most of the cost sits in a handful of decisions:

  • Workflows — each process the software runs (a quote, an order, an approval) is a unit of work.
  • Roles — the more kinds of user (admin, staff, customer, partner), the more rules and screens.
  • Integrations — accounting, payments, CRM, email, WhatsApp or government portals.
  • Your existing data — importing and cleaning spreadsheets or an old system.
  • Where it runs — a web app is the usual start; separate mobile apps add cost.
  • Reporting — dashboards and exports people will actually use.

Keep the first version small

The cheapest way to get custom software that works is to build the one workflow that costs you the most time first, use it for a few weeks, and then add the next. You start getting value sooner and spend only on what proves itself.

Custom or off-the-shelf?

If a ready-made tool fits how you work, buy it — it will be cheaper. Custom software is worth it when you are bending your process around a tool, paying for several subscriptions that don’t talk to each other, or running the business on spreadsheets that break as you grow.
